What is the duration of the summer work pilot program?

May 15 – August 11

What are the summer University core business hours?

Monday – Thursday, 7:30 – 4:00 | Friday, 7:30 – 12:30

Who is affected by the summer work schedule?

All employees on the Richmond campus are impacted; however, we recognize that some departments and individuals are required to operate outside of normal university business hours. Please consult your management concerning any adjustments to your summer schedule.

What if this schedule is not conducive to my department?

Supervisors may adjust work schedules based on departmental need.

What if I am unable to meet the new summer work schedule, can I request to adjust my schedule?

Please consult with your supervisor.

I am a supervisor having trouble adjusting my staff's schedules, what do I do?

Please contact your HR Consultant for guidance.

Will reduced hours result in reduced pay?

No. 

I am an hourly worker, how will I enter my time?

You will enter regular hours Monday – Thursday. On Friday, you will enter Sustainability Savings time based on the following examples.

Example: 7.5 hour per day employee

  • Report actual hours worked Monday – Thursday = 30 hours (7.5 hours per day)
  • Report actual hours worked on Friday = 5 hours regular time + 2.5 Sustainability Savings time to equal 37.5 for the week
  • Friday Formula = # of work hours scheduled MINUS # of hours actually worked (MINUS any leave time) = # of hours of Sustainability Savings time (not to exceed 2.5 hours)

Example: If 7.5 hour employee works 6 hours on Friday

  • 7.5 scheduled hours – 6 regular hours = 1.5 Sustainability Savings time
  • If employee works 7.5 hours or more on Friday, no Sustainability Savings hours would be reported.

Example involving leave time: If employee works 3 hours and takes 2 hours of vacation/sick on a Friday

  • 7.5 scheduled hours – 3 regular hours – 2 vacation/sick hours = 2.5 Sustainability Savings hours

Example: If 7.5 hour employee takes a full vacation or sick day on Friday

  • 7.5 scheduled hours – 5 vacation/sick hours = 2.5 Sustainability Savings hours

Example: 8 hour per day employee

  • Report actual hours worked Monday – Thursday = 32 hours (8 hours per day)
  • Report actual hours worked on Friday = 5 hours regular time + 3 Sustainability Savings hours to equal 40 for the week
  • Friday Formula = # of work hours scheduled MINUS # of hours actually worked (MINUS any leave time) = # of hours of Sustainability Savings hours (not to exceed 3 hours)

Example: If 8 hour employee works 6 hours on Friday

  • 8 scheduled hours – 6 regular hours = 2 Sustainability Savings hours
  • If employee works 8 hours or more on Friday, no Sustainability Savings hours would be reported.

Example involving leave time: If employee works 3 hours and takes 2 hours of vacation/sick on a Friday

  • 8 scheduled hours – 3 regular hours – 2 vacation/sick hours = 3 Sustainability Savings hours

Example: If 8 hour employee takes a full vacation or sick day on Friday

  • 8 scheduled hours – 5 vacation/sick hours = 3 Sustainability Savings hours

What if I work my regular schedule on Friday?

If you work your normal scheduled hours on Friday, then Sustainability Savings time cannot be applied.

Can I use my Sustainability Savings time on another day?

No. Sustainability Savings time is non-transferrable and cannot be saved or used at a future time.

I am part-time working less than 30 hours per week, how does this summer work schedule impact me?

You would enter hours for the actual time worked per your normal assigned schedule. Part-time employees are not eligible for Sustainability Savings time for the summer work schedule pilot program. Employees should discuss with their supervisor any adjustments to their schedule.

I am an exempt (salaried) employee, how does this summer work schedule impact me?

Exempt employees should only enter leave time such as sick or vacation during the core University business hours.

How will I report the Memorial Day and July 4th holidays?

Report holiday hours as you would during the normal academic year.
