Frequently Asked Questions

The University's Human Resources team has put together the following Frequently Asked Questions (and answers!) pertaining to the Summer Advantage Schedule. Occasionally this FAQ may be modified as needed, so please periodically refer back and be on the lookout for any University announcements that could change, alter, or otherwise impact the information below. 1. What is the EKU Summer Advantage Schedule?

Beginning Monday, May 20, 2024, and ending Saturday, July 27, 2024, ALL University campuses will transition to the Summer Advantage Schedule. The core hours of operation for the University during the Summer Advantage Schedule will be:

  • 7:30 AM – 5:00 PM, Monday – Thursday, with a 30-minute lunch period.
  • All University campuses will be CLOSED on Friday.

The last day of the Summer Advantage Schedule will be Saturday, July 27, 2024.

Recognizing that some departments and individuals are required to operate outside of core University hours of operations, supervisors/department heads will be permitted to adjust the work schedule at their discretion to meet the needs of the department and the University. It is important to note that this Summer Advantage Schedule will not alter any planned University activities or events during the summer.

Employees should consult their supervisors and EKU Human Resources for questions about schedule adjustments and time/leave reporting.

2. Who is affected by the Summer Advantage Schedule?

All campuses are affected. Some departments and individuals, however, are required to operate outside the core University hours of operations. Please consult with your supervisor concerning any adjustments to your schedule. Additionally, some employees on certain types of leave (FMLA, etc.) might not be subject to the Summer Advantage Schedule depending on their individual situations. Those employees must contact Human Resources to discuss these individual situations so that proper time reporting instructions, etc., can be provided.

3. I am a part-time employee - how does the Summer Advantage Schedule impact me?

Part-time employees are not eligible for Summer Advantage Schedule time and should work with their supervisors to adjust their schedules in light of the University's Summer Advantage Schedule.

4. What if these hours are not conducive to my department?

Supervisors may adjust work schedules based on departmental need which may include not participating in the Summer Advantage Schedule.

5. What if I am unable to meet the new Summer Advantage Schedule - can I adjust my schedule?

Consult with your supervisor.

6. I am a supervisor having trouble adjusting my staff’s schedules, what do I do?

Please contact your HR Business Partner for guidance.

7. Will the Summer Advantage Schedule result in reduced or additional pay?

No.

8. I am a full-time hourly worker; how will I enter my time?

For payroll purposes, Summer Advantage Schedule time should be reported as Alternative Schedule Time using the earn code “SST” on your timesheet. If you are a 7.5 hour employee, you may enter up to 1.5 hours of Alternative Schedule Time per week. If you are an 8+ hour employee, you may enter up to 2 hours of Alternative Schedule Time per week. Alternative Schedule Time cannot be taken in increments, cannot be added to your timesheet for overtime, and does not accrue for later use.

Example: 7.5 hour per day employee
During the academic year, employee works 37.5 hours per week. On the Summer Advantage Schedule, and assuming work during core hours, the employee would report as follows:

Report actual hours worked Monday – Thursday = 36 hours (9 hours per day) + 1.5 Alternative Schedule Time on Friday, to equal 37.5 for the week.

Example: 8 hour per day employee
During the academic year, employee works 40 hours per week. On the Summer Schedule, and assuming work during core hours, the employee would report as follows:

Report actual hours worked Monday – Thursday = 38 hours (9.5 hours per day) + 2 Alternative Schedule Time on Friday to equal 40 for the week.

9. What if I am not permitted to participate in the Summer Advantage Schedule?

If an employee is not permitted to utilize the Summer Advantage Schedule, the employee is not eligible for Summer Advantage Schedule time.

10. I am an exempt (salaried) employee — how does this Summer Advantage Schedule impact what I enter on my leave report?

Exempt employees should only enter leave time such as sick or vacation during the core University hours of operations. Employees on certain types of leave (FMLA, etc.) must contact Human Resources to discuss their individual situations so that proper time reporting instruction, etc., can be provided, as the Summer Advantage Schedule may be inapplicable to them depending on individual circumstances.

11. Can I accrue or carry over Summer Advantage Schedule Time into another week?

No, Summer Advantage Schedule Time cannot be accrued or carried over into the next week or any other week. Employees cannot save or bank Summer Advantage Schedule Time for later use.

12. Do I still get my regular breaks?

As required by policy, employees should take normal required breaks.

13. How will I report holidays?

The information below regarding holidays is subject to change. Please monitor campus communications as well as this document for updates. If you have questions or need further information, please contact Human Resources at EKU.Human.Resources@eku.edu, or (859) 622-5094.

  • Memorial Day (Monday, May 27, 2024)
    The University will be closed in observance of Memorial Day on Monday, May 27, 2024. The Summer Advantage Schedule will be suspended for the week of May 27, 2024, through May 31, 2024. The core hours of University operations will be 8:00 AM - 4:30 PM, Tuesday through Friday. Holiday time will be reported for Monday, May 27, 2024.
  • Juneteenth (Wednesday, June 19, 2024)
    The University will be closed in observance of Juneteenth on Wednesday, June 19, 2024. The Summer Advantage Schedule will be suspended for the week of June 17, 2024, through June 21, 2024. The core hours of University operations will be 8:00 AM - 4:30 PM, Monday, Tuesday, Thursday, and Friday. Holiday time will be reported for Wednesday, June 19, 2024.
  • Independence Day (Thursday, July 4, 2024)
    The University will be closed in observance of Independence Day on Thursday, July 4, 2024. The Summer Advantage Schedule will be suspended for the week of July 1, 2024, through July 5, 2024. The core hours of University operations will be 8:00 AM - 4:30 PM, Monday, Tuesday, Wednesday, and Friday. Holiday time will be reported for Thursday, July 4, 2024.
  • Floating Holiday (varied)
    Floating holidays are granted in increments based on your employee class and will not be granted based on the extended workday associated with the Summer Advantage Schedule. Floating Holidays can be used in increments or in total. Examples of how to report a full day are shown below.
    Example 1:
    If you are a 7.5-hour employee you should report 7.5 hours of Floating Holiday and 1.5 hours of Vacation, 9 hours total for that given day.
    Example 2:
    If you are an 8-hour employee you should report 8 hours of Floating Holiday and 1.5 hours of Vacation, 9.5 hours total for that given day.
